Buff Experience Transformation Update – June 9, 2026

Sprint 4 Underway: Build Progress ContinuesÌý

The Buff Experience Transformation project continues active development through Sprint 4, with configuration work progressing without significant blockers. Following the successful Sprint 3 demonstration on June 1, Cloud for Good and campus technical teams have advanced into the next sprint cycle, refining Education Cloud functionality and preparing for additional demonstration sessions. The project team is also re-envisioning the sprint demo format to enable more focused feedback, ensuring alignment on system functionality as it is built.Ìý

Data and Integration Milestone ReachedÌý

A significant milestone was achieved in early June: data approval for integration development. With approved data mappings in place, University Information Services teams have transitioned into active integration build work, connecting Education Cloud to campus source systems. In parallel, the data migration workstream is underway, focusing on transferring historical data from the legacy Buff Portal Advising (CRM 01)Ìýsystem to the new Education Cloud (CRM 05)Ìýenvironment. The project team is assessing the scope of historical data to be migrated while balancing advisor access needs with university data governance and retention policies. Buff Portal integration, which will modernize the advising card data connections via API, remains on the technical roadmap and will be implemented in a future sprint.Ìý

Working Groups Advance Across All FrontsÌý

All working groups continue to meet regularly and are progressing on critical deliverables:Ìý

  • Working Group 1 (MVP) is refining user experience enhancements, discussing student group visibility configurations, and providing ongoing input to system demonstrations.Ìý

  • Working Group 2 (Data, Integrations, and Technology) has moved into active integration execution and is collaborating closely with technical teams on migration planning and data security models.Ìý

  • Working Group 3 (Change Management, Communications, and Training) is organizing campus roadshow sessions, finalizing presentation materials, and preparing a new project website to support broader engagement. A change assessment survey has been distributed and substantial feedback received, which will inform persona-specific communications and change planning.Ìý

  • Working Group 4 (Adoption Leads) has begun onboarding the Adoption Lead cohort, providing context on the project, personas, and timelines. Adoption Leads will play a critical role in supporting their colleagues through training and amplifying change enablement messaging across campus.Ìý

Cutover Planning BeginsÌý

The project team has begun early-stage cutover planning to prepare for the transition from the Buff Portal Advising system to Education Cloud. This work includes timeline development, risk assessment, identification of potential barriers, and the creation of detailed project plans outlining tasks at the week, day, and hour level. The team is also developing objective go-no-go criteria to assess readiness for cutover, ensuring that organizational change management readiness, technical stability, and campus preparedness are all in place before the transition occurs. Updates and recommendations will be shared with working groups and leadership as planning progresses.Ìý
